Event Rental Quote Checklist: What to Prepare Before You Inquire

Use this event rental quote checklist to organize your date, venue, guest count, floor plan, quantities, style preferences, and delivery details before requesting a quote.

A useful event rental quote starts with more than a list of attractive products. The date, venue, guest count, layout, quantities, and service needs all affect what can be recommended and how the rental plan comes together.

Use this checklist to organize the information you already know. You do not need every detail finalized before contacting Palace Party Rental, but a more complete request makes it easier to understand the event and respond with relevant options.

Event date and schedule

Start with the event date and the times that affect the rental plan:

  • guest arrival and event start time;
  • ceremony, cocktail hour, dinner, and entertainment timing;
  • venue access for delivery or installation;
  • the time by which setup must be complete;
  • the event end time and pickup constraints.

If the venue has strict loading hours, noise rules, or same-night removal requirements, include those details early.

Venue and access information

Provide the venue name and full address. If possible, also include:

  • indoor, outdoor, or mixed event areas;
  • loading-dock or service-entrance instructions;
  • stairs, elevators, long carries, narrow doorways, or restricted access;
  • ground surfaces for outdoor areas;
  • venue contact information;
  • floor plans, measurements, or clear photos.

Venue information is especially important for tent rentals, drapery, staging, lighting, and dance floors.

Guest count by event zone

Use the best current estimate and separate the event into zones when helpful:

  • ceremony seating;
  • cocktail-hour seating and tables;
  • reception dining;
  • lounge areas;
  • bar and beverage stations;
  • dance floor and entertainment;
  • buffet, dessert, cake, gift, or display tables;
  • vendor or staff needs.

A single guest count does not always translate into one quantity for every rental. For example, ceremony chairs, dining chairs, lounge seating, glassware, and dinnerware may each follow a different service plan.

Products, quantities, and alternatives

Browse the Los Angeles rental catalog and record the products or categories you prefer. For each selection, include:

  • product name or page link;
  • requested quantity;
  • preferred color, finish, or collection;
  • where it will be used;
  • whether an alternative style is acceptable.

If you are still comparing options, say so. A quote request can include more than one chair, table, bar, linen, or tabletop direction for review.

Layout and sizing details

Share a floor plan when one is available. Useful layout information includes table shapes, aisle widths, stage location, bar placement, lounge zones, dance-floor footprint, buffet flow, and any areas that must remain clear.

For tables and chairs, include the expected seating arrangement. For linen rentals, provide each table size and shape. For a tent, dance floor, stage, or drapery installation, add measurements and venue photos whenever possible.

Style and visual direction

Describe the atmosphere you want to create. You can include:

  • a color palette;
  • preferred materials or finishes;
  • formal, modern, romantic, editorial, classic, or relaxed references;
  • inspiration images;
  • products already selected from other vendors.

Visual direction helps connect categories. A chair finish can affect table and linen choices; glassware and chargers can shape the tabletop; bars, lounge furniture, drapery, and lighting can define larger event zones.

Delivery, setup, and pickup questions

Explain what help the event may need and identify any venue requirements. Ask about delivery, pickup, setup, installation, and breakdown as they apply to the selected inventory. Do not assume every product category follows the same handling process.

Changes, deadlines, and decision-makers

Note when the guest count is expected to become final, who is approving the rental plan, and whether a planner, venue manager, caterer, or production partner should be included in the discussion.
